Hip-Hip Holidays
This policy explains how cancellations, amendments, rescheduling and refunds are handled for travel arrangements made through Bizhankers, operating under the brand Hip-Hip Holidays.
Because Hip-Hip Holidays arranges travel services provided by airlines, hotels, DMCs, transport companies, activity providers, insurance providers, visa providers and other suppliers, the cancellation and refund conditions applicable to a particular booking may vary by service and supplier. The specific cancellation terms applicable to your booking will be communicated to you as part of your quotation, booking confirmation, invoice, itinerary, travel voucher or other booking documentation.
1. Cancellation Policy Applicable to Your Booking
Before confirming a booking, customers should carefully review the cancellation conditions applicable to the services being purchased. These may vary depending on destination, travel dates, airline, hotel, activity, transfer, visa service, insurance policy, supplier, fare or room category, booking conditions and time remaining before departure. Certain services may be fully refundable, partially refundable or non-refundable. Where supplier-specific cancellation conditions apply, those conditions will govern the amount refundable.
2. Booking Amounts and Advance Payments
A booking may require an advance payment or deposit to secure travel arrangements. Unless expressly stated otherwise in writing, payment of an advance does not automatically mean that the entire amount paid is refundable. The refundability of the amount will depend on the applicable booking and supplier conditions communicated to you.
3. Non-Refundable Services
Certain travel components may be non-refundable once booked or issued. These may include non-refundable airline tickets, certain hotel bookings, special-rate accommodation, activities and excursions, transfers, visa fees, travel insurance premiums after policy issuance, permits, special event tickets, administrative or booking fees, and other supplier-designated non-refundable services. Where a component is explicitly identified as non-refundable before booking, the corresponding amount may not be refundable.
4. Customer-Requested Cancellation
If you wish to cancel your booking, cancellation must be communicated to Hip-Hip Holidays through the designated communication channel. The cancellation date for calculating applicable charges will generally be the date on which the cancellation request is received by us, subject to any specific supplier rules applicable to your booking. Cancellation charges may increase as the departure date approaches.
5. Amendments and Rescheduling
Requests to change travel dates, hotels, flights, room types, travellers, transfers, activities or other travel arrangements are subject to availability and supplier rules. An amendment may involve supplier amendment fees, fare or rate differences, cancellation charges, rebooking charges, administrative charges, and difference in taxes or government charges. Some bookings may not permit amendments after confirmation. A request to change dates may be treated as a cancellation and new booking where required by the supplier.
6. Partial Cancellation
If only some travellers in a booking cancel, the remaining travellers may be subject to revised pricing. For example, changes to room occupancy may result in increased per-person accommodation costs. Any applicable supplier cancellation charges will continue to apply.
7. Flights
Flights are subject to the fare rules and conditions of the relevant airline. Flight cancellations, changes, schedule changes, missed flights, no-shows, baggage-related charges and other airline matters may be governed by the airline rules. Where the airline determines the refund amount, Hip-Hip Holidays can generally refund to the customer only the amount actually received or released by the relevant supplier, after applicable charges.
8. Hotels
Hotel cancellations and amendments are subject to the hotel’s rate and cancellation conditions. Special, promotional or non-refundable hotel rates may have different terms from standard rates. Hotel-specific matters such as early check-in, late check-out, room upgrades, additional amenities, property facilities and service quality are governed by the applicable hotel or supplier conditions.
9. Activities and Excursions
Activities may have different cancellation conditions. Certain activities may become fully non-refundable after confirmation or within a specified period before the activity date. Weather-related changes, safety restrictions, local operational decisions and activity-provider policies may also affect availability and refunds.
10. Visa Services
Hip-Hip Holidays may assist customers with visa application preparation or coordination. However, the decision to issue, refuse, delay or impose additional conditions on a visa rests with the relevant embassy, consulate, immigration authority or other competent authority. Visa fees, government charges and certain service fees may be non-refundable once an application has been submitted or processed. Hip-Hip Holidays cannot guarantee visa approval or a specific processing time where the decision or processing is outside our control.
11. Travel Insurance
Where travel insurance is purchased, the policy is governed by the terms of the relevant insurer. Once an insurance policy has been issued, its cancellation and refund conditions will be determined by the insurer and applicable law. Any claim under an insurance policy should normally be made directly with the insurer in accordance with the policy terms.
12. Transfers and Ground Services
Cancellation or amendment of airport transfers, private transportation, shared transportation or other ground services will be subject to the conditions of the relevant supplier.
13. Supplier Cancellations or Service Disruptions
A supplier may cancel, modify, suspend or otherwise be unable to provide a service because of operational, technical, regulatory, weather, safety or other circumstances. Where such an event occurs, Hip-Hip Holidays will make reasonable efforts to assist with available alternatives or refund processes. Any refund will generally be subject to the amount and conditions actually provided by the relevant supplier.
14. No-Show and Unused Services
If a traveller does not use a booked service, arrives too late to use it, misses a flight, transfer or activity, or chooses not to use an included service, a refund will not ordinarily be available unless the relevant supplier’s rules expressly provide otherwise.
15. Refund Processing
Once a refund has been confirmed and the refundable amount has been received or released by the relevant supplier, Hip-Hip Holidays will process the applicable refund within a reasonable processing period. The final refund timeline may depend on supplier processing time, airline or hotel processing, payment gateway processing, banking timelines, international currency conversion, verification requirements or other circumstances outside our reasonable control. Refunds will ordinarily be made to the original payment method unless another method is agreed or required for practical or legal reasons.
16. Currency Fluctuations
Where a booking or supplier refund involves a foreign currency, the final amount received may vary because of exchange-rate movements, bank charges, payment-provider charges or other applicable costs.
17. Service and Administrative Charges
Where clearly communicated and legally permissible, certain professional, administrative, amendment, processing or booking charges may be non-refundable. Any applicable charges will be communicated as part of the relevant transaction or booking terms.
18. Policy Priority
The cancellation terms specifically communicated for your individual booking will prevail over any general statement in this policy where there is a conflict.
